Once SnapShot is installed on the Server/Primary workstation initially, a shared database is created (the default name is SnapShot). Load the Licence using web update (if possible) See installation notes on how to do this. Important – remember to check for new Dashboards (under Settings) to populate the Community Dashboard section or no dashboards will be visible.   Once this initial set us is complete, each additional workstation can be implemented via the executable. Download this from the PSS download link. Or download and save it to a shared drive so you can access the install file from any workstation.  Or another option is to copy to a USB drive and to take to the workstation to install. When logging in for the first time (on the workstation) link the database (Snapshot or other name) by clicking on Settings. The SQL server, username and password is required to complete the installation.   You will only require the one registration code. You will also need to set up user names and passwords for the users on the individual workstations to manage permissions in the future. See under Settings, Manage Login and Permissions.

The user licensing is based on concurrent users. Any PC will be able to log in, as long as the number of logged in users is less than what they are licenced for.

The transaction date limits the drill down detail that makes up the balance of the accounts. You may run the P&L for a year but you only need the detail for last month for example. The greater the date range, the greater the data is that has to be loaded

Yes. With just one log in, you can report across multiple companies through Custom Dashboards. If both databases are SQL, it can be done in a view easily. If it’s another database type, it has to be done via ‘custom connection strings’. If they are all from one Financial System, the easiest way to report across the databases is by modifying the view. It just needs to be set up first.

Yes, simply install SnapShot for each company, so if you have 3 companies, you would have 3 SnapShot installs. These would all point towards their own SnapShot databases, which in turn would point to the specific Financial Company. You would have to run 3 copies of SnapShot in this scenario though, but it would mean you don’t have to change the settings all the time.

Only the administrator has the rights to update dashboards.

Yes, we can report across any SQL or other database from within the same Snapshot login. The custom connection strings under Settings is used by Plus Software and Partners to pull data from multiple different sources / databases into one dashboard.

Yup, the Profit and Loss Standard GL and Budget Analysis – Any Date Range is used. This is based on a normal master sub account GL structure with Departments and Branches.

You can share the entire Dashboard by sending it as a PDF or image. If there is information within a Dashboard that is within a Table, that can be shared via EXCEL, or image or PDF. See Quick Start Videos on YouTube.

If you are not an administrator, then you will not see New Dashboards automatically. The Administrator needs to assign any new Dashboards to your login. This is a security measure as Snapshot is permission based.

With most third party solutions, developers would use an Application Programming Interface (API) or Software Development Kit (SDK) to engage with the accounting, payroll or business solution. With Snapshot however, an API or SDK is not required because SnapShot does not write any information back into the business system databases. SnapShot merely reads the data by creating views on the database that Snapshot reads. Plus Software does however have SDK agreements with some vendors, like Sage and Sybiz.

Technically YES, because the latest build of Dev Express (user interface control software) has given Plus Software developers the ability to pull data directly from spreadsheets. Plus Software is in the process of updating SnapShot to take advantage of this feature set.

The Job Costing Dashboard (Sybiz Vision only) Estimates, Costs, and Invoices & Credits – an explanation of the Columns: Estimated Cost: Sum of all costs in job estimates. Actual Costs: Sum of all Job Cost transactions, e.g. Job Costs, Timesheets, Purchase invoices. (Actual costs incurred and assigned to the Job to date.) Invoiced Cost: These are Costs posted to the Profit and Loss at time of Sales Invoice. This cost does not have to relate to the Actual Costs as Sales Invoices can be raised prior to any work commencing and the user can set a Cost to post. Cost Variance: This is the Estimated Cost vs the Actual Cost. (How are you doing, or how have you done, on a Job?). Invoiced and Credited Income: This number reflects what has been invoiced to the customer but also takes into account any credits processed. (Note – this balances back to Sybiz Vision).

The Target GP Percentage can limit the amount of jobs to analyse. For example a company may want to make a minimum of a 60% GP on all jobs. By inserting 60 in the Target GP Percentage it will only display jobs that fall under a GP% of 60%. Only analyse jobs that have performed under expectation. (Defaults to 100)
